Overview

The Capital Projects Coordinator is responsible for the supporting the Department of Capital Planning and Facilities Management (CPFM) with the efficient execution of capital projects. The Capital Projects Coordinator will maintain a scope/schedule/budget tracking system for all CPFM projects, provide logistical support on active projects, and communicate project status to BPL departments and external stakeholders. This position reports to the VP, Capital Planning & Facilities Management (VP CPFM), and will assist the VP CPFM in performing project analytics and developing long-term capital project strategy.

Responsibilities

  • Organize and integrate data to provide capital project tracking, reporting & analytics using tools including Tableau (Desktop, Server, and Prep), Excel, Google Sheets, etc:
  • Maintain a capital project database for use by CPFM, other BPL departments, and the NYC Department of Design & Construction (DDC) summarizing scope, schedule, and budget;
  • Utilize analytics and visualization tools to provide routine reporting on projects to BPL and external stakeholders, including report briefs and visual Attend meetings as needed;
  • Model and forecast the cost of capital projects, including project expenditures, cost trends, potential risk and associated change order impacts, cash-flow forecasting and historical project financial reports; and
  • Model and forecast the project schedules for the capital program utilizing fact-based decision making, identifying opportunities for coordination and phasing to create greater efficiency in the execution of capital projects
  • Manage procurement and sub-contracting activities, including purchase order generation and invoicing, for BPL-managed capital projects
  • Assist with capital project logistics, including liaising with the DDC and other BPL departments to coordinate building transfer and construction activities
  • Administer and maintain a centralized building records inventory including all hard copies and digital files of building plans and construction documents, permits, manuals, procedures and policies, and design standards
  • Provide direct support in preparing VP CPFM with scheduling, reports, PowerPoint presentations, etc., as necessary for internal, Trustee, executive level, and community meetings

Qualifications

  • Bachelor degree in arts, science, or engineering
  • Five years professional experience in administrative support of capital construction projects and planning.
  • Must be able to effectively communicate (oral & written) with all levels of the organization
  • Exceptional problem solving, conceptual, analytical and organizational skills
  • Strong aptitude for details
  • Self-starter with a positive "can do" attitude; a "hands-on" individual who enjoys a challenge and is dedicated to getting the job done with minimal support and direction
  • Strong ability to work effectively and independently within time constraints and changing priorities
  • Proficiency with MS Office Suite, strong skills in Excel and PowerPoint are a must
  • Working experience with FMS, the New York City’s Accounting System for monitoring of budgets only a plus
  • Experience with project management systems and database management solutions including Tableau, e-Builder, Oracle P6, FM Systems, Archibus, or similar preferred
  • Proficiency with AutoCAD, BIM, and Revit a plus
