Overview

The Brooklyn Public Library is a dynamic and vital institution serving the diverse communities of Brooklyn, New York.  With a rich history and a commitment to fostering knowledge and learning, the library system comprises 60 buildings spread across the borough, totaling over one million square feet of property.  We are seeking a highly skilled and motivated Building Operations Manager to oversee the maintenance and operations of our extensive property portfolio. This position reports directly to the Director of Buidling Operations and Sustainability, and works closely with managers and directors in the fields of Energy Management, Capital projects, Environmental Heath and Safety and Fire/Life Safety. Duties will include frequent communication with other staff through Brooklyn Public Library, including public service, governmentand community relations, library leadership and other support services.

Responsibilities

Property Oversight:

  • Manage the day-to-day operations of 60 library buildings, ensuring they are well-maintained, safe, and compliant with all relevant regulations
  • Responsible for the proper operation of heating plants, boilers, ventilating equipment, elevators, and other mechanical equipment at all branch locations
  • Lead building compliance efforts for the entire BPL portfolio, tracking DOB and OATH/ECB violations/summons and executing hearings

Team Leadership:

  • Supervise and lead a team of thirty-plus maintenance staff, providing clear direction, support, and mentorship
  • Foster a positive and collaborative work environment, promoting a culture of excellence and accountability

Budget Management

  • Develop and manage the annual operating budget for building operations, ensuring cost-effective use of resources
  • Identify opportunities for cost savings and efficiency improvements without compromising service quality
  • Responsible for overseeing the successful delivery of city/state managed or self-managed capital projects including minor alterations, renovation or new construction with project budgets typically ranging from $1M to $20M

 Vendor Relations:

  • Collaborate with external vendors and contractors to secure services and supplies, negotiating contracts and ensuring adherence to agreed-upon terms
  • Establish and maintain positive relationships with vendors to enhance service delivery
  • Must be proficient in understanding contracts and drafting RFPs

 Emergency Response:

  • Develop and implement emergency response plans to address potential building-related incidents like flooding and vandalism
  • Coordinate with relevant authorities and stakeholders during emergencies to ensure the safety of library patrons and staff
  • Lead Site Facilities crisis management during weather events and other anticipated/unanticipated crisis situations. Includes ability to run site facilities locally as needed to keep operations running

Regulatory Compliance:

  • Stay abreast of local, state, and federal regulations related to building operations and ensure compliance
  • Work closely with the Environmental Health and Safety Director to monitor health and safety protocols and create a secure environment for library users and staff

Data Management:

  • Utilize building management systems and software to track and analyze key performance indicators, providing regular reports to library leadership
  • Maintain accurate records of maintenance activities, repairs, and inspections

Qualifications

  • Bachelor's degree in Facility Management, Business Administration, or a related field
  • Proven experience in building operations and facilities management, preferably in a large-scale institution
  • Strong leadership and team management skills with a track record of successfully leading diverse teams
  • Excellent communication and interpersonal skills, with the ability to collaborate effectively with internal and external stakeholders.
  • Knowledge of relevant regulations, codes, and standards related to building operations
  • Budget management experience and the ability to identify cost-saving opportunities
  • Proficiency in using building management systems and related software

This is a non-union, exempt position with a salary range of $100,000-110,000.
